For Diplomates: Tips for a Smooth Audit Experience

The ACVS certification staff wants all Diplomates maintaining certification to have a smooth audit experience. Here are some common corrections requested during an MOC record audit and how you can address them now.

  • MOC records submitted with duplicate activities. Review your MOC record activities; if you find a duplicate or possible duplicate, submit a help desk ticket for ACVS certification staff assistance.
  • Continuing education (CE) activities with incorrect documentation. Registration or payment confirmation emails are not acceptable documentation. A CE completion or attendance certificate is required. If the activity is not an ABVS RACE-Approved activity, see the MOC Approved Activities List for the additional documentation required.
  • Ad hoc reviewer activities with incorrect documentation. Save the journal editor’s confirmation/thank you email as a PDF or take a screenshot of the email and upload it directly. Email content copied and pasted into a Word document may not be accepted during audits.
  • Publication activities with incorrect documentation. Save the journal acceptance letter as a PDF or take a screenshot of the email and upload it directly. Email content copied and pasted into a Word document may not be accepted during audits.
  • Case report activities recorded as the wrong publication type. If the publishing journal categorizes your article as a case report, you must also record the activity as a case report in your MOC record. This ensures that your records are complete and verifiable during audits.

ACVS imported activities marked “Data imported” from the previous MOC record system in March 2023. These activities are view only and will not show supporting documents in CERT. ACVS has those documents on file. You do not need to re-upload this documentation. If you have concerns about the documentation for an imported activity, submit a help desk ticket for assistance.
